About the role

The Administrative Assistant provides administrative support to the Head of Partners & Providers and the Head of Enablement within the Return to Work Business Unit. This may involve either coordinating the activities of others or providing support to the Divisions within the areas.

Key Accountabilities:

  • Provide high level administrative assistance in relation to effective diary management, travel bookings and managing correspondence and incoming sensitive, confidential information
  • Provide a range of administrative support functions to support the delivery of core day-to-day and project activities
  • Assist the Heads with papers and reports for internal and external meetings
  • Manage mailboxes, first point of contact for initial phone inquiries and directing enquires to appropriate contact
  • Maintain administrative processes and templates including agendas, minutes and action registers. Coordinate meetings, functions, agendas and room bookings
  • Manage the receipt and payment of invoices from providers, including purchase orders, within the procurement framework

About you

You are an experienced Administrative Assistant with a passion for delivering support to your stakeholders. You will have excellent organisation, prioritisation and time management skills combined with highly developed interpersonal skills whilst also being able to work autonomously whilst exercising discretion.

Skills and experience:

  • Proven experience in an administrative support role supporting senior leadership
  • Experience in preparation of presentations, agendas, minutes; as well as organising functions or team events
  • Excellent and effective written, verbal and telephone communication skills
  • Intermediate/ advanced knowledge of Office Suite (eg PowerPoint, Word, Excel)
  • Demonstrated ability to liaise with a diverse client/stakeholder group including senior management levels
  • Demonstrated ability to exhibit tact in the handling of complaints and enquiries and take action in response
